IT Support for Education & Training Providers

Practical IT for schools, colleges and registered training organisations in Sydney — protecting student data, keeping student management systems available, and handling retention obligations that outlast your hardware.

Quick answer

Does Tech Hub Australia support education providers and RTOs? Yes. We provide managed IT and cyber security for schools, colleges and registered training organisations across Sydney — covering student data privacy, long-term retention of certification records, student management system availability, shared and student device management, and Microsoft 365 for education.

Why education is different

Records that outlive the systems holding them

Education has a retention problem that almost no other sector shares. Registered training organisations are required to retain AQF certification records for 30 years and to be able to produce them on request. Thirty years is longer than any server, any file format decision and most software vendors will last. That makes retention an architectural question, not a storage question — and “it is on the old server in the back room” is not an answer that survives an audit.

The privacy side is equally particular. Student records frequently include information about minors, and often sensitive information: disability and support needs, welfare and behavioural notes, health details, family circumstances. The people who need access vary constantly as classes, cohorts and staff change. Access control in education is not a set-and-forget exercise, and permissions that were correct last year are frequently wrong now.

Then there is the device reality. Education runs shared and student-facing devices at a scale other sectors do not — labs, loan devices, classroom terminals, staff laptops that go home. Those devices need to be manageable, re-imageable and safe to hand to a different person each period, without a technician touching each one.

Underneath all of it sits the student management system. When it is unavailable you cannot enrol, mark attendance, record results or issue certification, and for an RTO those are compliance activities as much as operational ones. It deserves to be treated as a critical system with a tested restore and an agreed recovery time.

  • Long-term retention of certification records designed to outlast the hardware
  • Student data privacy with access that is reviewed as cohorts and staff change
  • Student management systems treated as critical, with tested restores
  • Shared, loan and lab devices managed centrally and re-imageable
  • Microsoft 365 for education configured for staff and student separation
  • Security baselined against the ACSC Essential Eight
Common questions

Education providers ask us this

Registered training organisations must retain AQF certification records for 30 years and produce them on request. No server, storage format or software vendor reliably lasts that long, so the design has to assume migration: records held in durable, vendor-neutral formats, with a defined copy that is not dependent on any single system continuing to exist, and a deliberate plan for moving them forward. Treating it as an archival problem rather than a backup problem is the key shift.

Centrally enrol and manage them so configuration, updates and restrictions are applied from one place, and so a device can be wiped and re-imaged without a technician physically handling it. That way a device can be handed to a different person each period without accumulating whatever the last person left on it.

You cannot enrol, mark attendance, record results or issue certification — and for an RTO those are compliance activities, not just operational ones. We treat it as a critical system: understand its dependencies, confirm backups are real and restore-tested, and agree a recovery time with you rather than finding out during an outage.

Student records routinely contain personal information and often sensitive information — disability and support needs, welfare notes, health details — frequently about minors. Your exact obligations depend on how your organisation is constituted and funded, so it is worth confirming which framework applies to you. Either way, the practical controls are the same: limit access to who genuinely needs it, review it as cohorts and staff change, and be able to establish who accessed what.
